QUOTES ADMINISTRATOR


Position Identification:
Position/Business Title: Quotes Administrator
Reports to: Director of Office Operations
Location: Head Office

Job/Position Summary:
Reporting to the Director of Office Operations, the Quotes Administrator position is responsible for generating delivering timely and accurate quotes. They will also support for ensuring that the parties to a contract do their due diligence in order to comply with all of the aspects of the contracts. The Quotes Administrator also partners with financial area managers in business development efforts and introducing value-added services to existing and potential customers.


Work Performed:
➢ Generates and delivers timely and accurate quotes
➢ Assist with the preparation for proposals for major quotes
➢ When the contract has been fulfilled, the contract administrator will complete a closeout process to ensure that they contract has been ended in an appropriate manner
➢ Oversees the contract terms through electronic document management systems and spreadsheets, to properly track various transactions and keep proper records
➢ Review documents provided by Supervisors/Managers and Field Administrators for conformity and clarity
➢ Sending approved/finalized quotes to clients
➢ Compiles data for prepping quote and files on server
➢ Liaison with Supervisors/Managers for awarding of quotes
➢ May be required to act as liaison between Supervisors/Managers and clients
➢ And, any other duties are required by the Director of Office Operations

Skills/Work Experience:
➢ Minimum of 2 years’ experience in a Quotes/Administrative role
➢ A background or education showing advanced computer skills and high proficiency in MS Office, Word, and Excel
➢ Excellent verbal and written communication skills are required to effectively deal with all Supervisors/Managers and clients
➢ Attention to detail and strong organizational skills
➢ Flexible to change and open to constructive feedback
➢ Team player with the ability to build and maintain relationships both internal and external
➢ Proven leadership capabilities

Hours of Work
Monday to Friday
8:00 am – 4:30 pm
➢ Lunch break is to be taken between 12:00 – 12:30
➢ 2 Optional 10–15-minute coffee breaks
o Morning 9:30 – 9:45
o Afternoon 2:30 – 2:45
➢ Only deviation from this schedule is at the discretion of the Director of Office Operations
➢ Any Personal days off must be approved with a minimum of 2 days advance notice by the Director of Office Operations
➢ Requesting vacation time must be submitted to the Director of Office Operations by completing the ISSLP Absentee form with a minimum of 2 weeks’ notice

Probationary Period:
3 months
